Position Title Development Administrative Assistant About the University Western Washington University, with over 16,000 students in seven colleges and the graduate school, is nationally recognized for its educational programs, students and faculty.

The Office of University Advancement oversees efforts to engage alumni and other constituents, and to seek and secure philanthropic support for the University.
Private support for the University's projects and programs is received, on behalf of the University, by a separate 501 c3 (Foundation) which was established in 1966.
The University now receives approximately $17 million annually in the form of annual gifts, endowed gifts, estate gifts, and gifts in kind like real estate, equipment, and works of art.
This philanthropic support provides scholarships and research stipends for students, and provides support for faculty, programs and projects, scholarly activities, and student clubs and teams.
Fiduciary oversight of private funds received by the Foundation is provided by the VP of University Advancement, who is also the CEO of the Foundation along with the CFO of the Foundation and a volunteer board of directors.
Together the CEO, CFO, and board of directors guide the financial management and investment of the Foundation's $140 million assets under management.
About the Position Under general direction, this position is responsible for organizing and performing work related to the major gifts division of University Advancement.
This position specifically provides high-level administrative support to the Senior Director of Strategic Initiatives/Corporate Foundation Relations who reports directly to the Vice President of University Advancement and who has responsibility for oversight of the division’s activities related to Corporate and Foundation Relations and shared responsibility for the oversight of Major Gifts.
In addition to daily administrative tasks, this position works independently to manage programs and projects on behalf of the Senior Director including administration of the division’s pre- and post-award procedures for philanthropic grants and related policy compliance.
The position also has responsibility for developing and managing a system to support gift officer related travel and donor cultivation activities and hires, trains, and manages student employees.
The State HR classification for this position is Administrative Assistant 3.
Required Qualifications Associate degree in Business, Accounting, Office Administration, or similar field OR five years progressively responsible experience in office/administrative assistance, executive assistance, bookkeeping, accounting, or general administrative work Excellent customer service skills Demonstrated ability to supervise people and project Demonstrated ability to work collaboratively with colleagues, co-workers, and constituents to create an inclusive work environment Demonstrated attention to detail Ability to maintain confidentiality Excellent organizational skills, including the ability to prioritize responsibilities and accomplish work by deadlines Ability to work in a dynamic environment and simultaneously address and manage multiple projects and requests Excellent oral and written communication skills Demonstrated expertise in MS Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint, Teams) and ADOBE Pro Demonstrated ability to use virtual meeting software Experience working with databases including adding, editing, and organizing documents and information Preferred Qualifications Bachelor's degree Experience in a non-profit, higher education, or similarly complex organization Experience with Elucian products including Banner and (Elucian name for WAVE) Experience with GrantHub Experience with DocuSign Experience with electronic travel management systems Demonstrated experience related to the administration of grants, contracts, or other legal documents Conditions of Employment All employees must comply with our Immunization policies, including Proof of Rubeola Measles Immunity within 60-days of hire.
